Design Services

The Project Manager shall support the design process from initial concept through documentation, ensuring alignment with business requirements, operational needs, and project objectives.

Key responsibilities include:
  • Review existing design and business requirement
  • Develop preliminary space planning layouts for client review and approval
  • Evaluate and analyze space planning strategies
  • Conduct detailed site surveys to support architectural and engineering documentation
  • Prepare permit filing and construction document sets

Pre-Construction

During pre-construction, the Project Manager shall establish the framework for successful project execution by coordinating planning, budgeting, and team alignment.

Responsibilities include:
  • Assist in developing the overall master plan and project schedule
  • Define critical project milestones, including time-sensitive approvals and deliverables
  • Obtain and review building rules and regulations to identify potential financial or operational impacts
  • Develop and maintain detailed project budgets

The Project Manager shall also support consultant coordination, procurement planning, and operational readiness.

  • Define project scope for external consultants and assist in negotiating contracts and purchase orders in coordination with the client
  • Support the selection and evaluation of consultants and project team members, including preparing RFPs and reviewing proposals
  • Coordinate project reporting and client communications
  • Prepare detailed agendas and meeting minutes for all project team meetings

In addition, project procedures and operational systems shall be established to support execution.

  • Establish project management procedures, including communication protocols, information flow, schedule management, cost control, and approval processes
  • Coordinate the procurement and management of owner-furnished equipment and items
  • Implement controls for project approvals, revisions, and change management
  • Assist in evaluating shipping and distribution processes for store operations
  • Support the development of storage and back-stock systems for merchandise management

Drawing Production & Coordination

The Project Manager shall oversee drawing production and coordination to ensure consistency, accuracy, and alignment with project goals, budget, and schedule.

Key responsibilities include:
  • Manage project schedules and oversee design team timelines
  • Coordinate and monitor drawing production with the production architect
  • Perform value engineering reviews to align documentation with the approved budget
  • Ensure all project documentation maintains required levels of detail and quality standards

The Project Manager shall also actively review and coordinate drawings to minimize risk and improve efficiency.

  • Review construction drawings to verify coordination and identify cost-saving opportunities
  • Evaluate areas of potential conflict, including interdisciplinary coordination, trade jurisdiction issues, and code compliance
  • Monitor the effectiveness of the design program in meeting client objectives
  • Provide redline comments on all project drawings and documentation
  • Coordinate drawing submissions with the contractor and budgeting team on a weekly basis

Bidding, Analysis & Contract Negotiation

The Project Manager shall support the bidding process and contract negotiations to ensure alignment with project goals, budget constraints, and client expectations.

Responsibilities include:
  • Manage client expectations and coordinate communication with vendors
  • Oversee and assist with site surveys and documentation of existing conditions
  • Support the review and evaluation of conceptual design plans
  • Provide quality control throughout all phases of design development

The Project Manager shall also ensure financial and brand alignment throughout the process.

  • Assist in monitoring adherence to project budgets
  • Ensure brand identity and design standards are consistently implemented
  • Participate in design presentations and project reviews with management

Construction Administration

The Project Manager shall provide oversight during construction to ensure the project is executed in accordance with contract documents, schedules, and quality standards.

Key responsibilities include:
  • Obtain all required lease documentation necessary to commence construction
  • Secure and monitor insurance certificates for compliance throughout the project
  • Assist with project mobilization and establish communication protocols among stakeholders
  • Coordinate contractor work with third-party systems and vendors

Ongoing construction oversight and issue resolution shall be maintained throughout the project lifecycle.

  • Monitor daily construction progress and adherence to schedules and milestones
  • Develop and manage schedules for owner-supplied items
  • Monitor construction quality standards and ensure compliance
  • Troubleshoot and resolve field issues and unforeseen site conditions

The Project Manager shall also manage financial controls and change management during construction.

  • Review and negotiate all change orders and contract extras prior to client approval
  • Establish and manage requisition processes and financial reporting
  • Verify payment applications and lien waivers
  • Perform cost analyses of change orders and contractor proposals
  • Negotiate additional costs or applicable credits and provide cost-effective solutions

Closeout preparation and completion activities shall be coordinated to ensure a smooth project finish.

  • Develop, coordinate, and manage project punch lists
  • Oversee project closeout procedures, including Certificates of Occupancy, TR-1 filings, inspections, and related requirements

Turnover & Close Out

The Project Manager shall coordinate final project closeout and turnover to ensure all documentation, approvals, and deliverables are complete, organized, and properly transferred to the Owner.

Responsibilities include:
  • Coordinate the preparation and delivery of as-built documentation upon project completion
  • Obtain and coordinate all required project sign-offs and final approvals
  • Organize, document, and transfer all applicable warranties and closeout materials to the client
